TRACES: Download & Extract TDS & TCS Certificates

Once you have completed the process of filing your TDS or TCS returns, the next important step is to generate and distribute the relevant certificates to deductees or collectees.

The entire process, involves two key steps:

• Downloading the Certificate File from TRACES
• Extracting the Final Certificates using the Dept’s ‘PDF Generation Utility’

Let us break this down step-by-step.

Step 1: Download the ‘Certificate File’ from TRACES

➥ Login to TRACES website with your credentials

➥ Go to ‘Downloads’ Section – choose the relevant form you need:

• Form 130 for employees
• Form 131 for non-salaried deductees
• Form 133 for TCS transactions

➥ Select the Mode of Download

• Use ‘Bulk’ mode to download all certificates for a particular return, or
• Use ‘PAN’ mode to download for a specific deductee/collectee.
• Use ‘All PANs’ mode to download all available PANs.

Step 2: Extracting the Final Certificates

Once the ‘Certificate file’ is downloaded, follow these steps to extract the TDS / TCS Certificates in as PDFs:

Ensure you are using the correct and latest ‘PDF Generation Utility’ – the latest version can be downloaded from TRACES. Following purpose-based variants of utility is as under:

• Form 131 – TDS
• Form 130 (Part A) and Form 130 (Part B) – contains salary-wise tax computation details (as reported in Form 138-Q4 Annexure II) – TDS
• Form 133 – TCS

➥ Provide required inputs and Run the Utility

• Form Type
• Location of the downloaded certificate file
• TAN in capital (used as the password for extraction)
• Output Folder where the final PDFs should be saved
• Choose Digital Signature Option (Optional)

The process will extract and generate individual certificate PDFs in the specified folder for distribution.
